Job Summary AFSCME 1111, 1178, 1276
The Clerk V, Bilingual serves as the first contact point for patients and visitors to the dental clinics. Interacts directly with patients daily in a high-volume clinic in accordance with the general policies and standards of performance established by the clinic. Elicits detailed patient protected health information as it relates to the registration, discharge, and scheduling of patients. Answers a high volume of calls and routes them appropriately. Works as a member of a larger team both within and outside of the health center. Under general supervision this position performs a variety of clerical functions requiring discretion and independent judgment. At all times the clerk should command a professional, friendly and polite manner. As part of the dental team the clerk's role is to assist in the smooth and efficient running of the practice, to adhere to protocols at all times in line with the system, the center, and the department's strategy, goals, and values.
Typical Duties
* Demonstrates adherence to HIPAA and National Patient Safety Goals
* Participates in quality improvement activities to assess, monitor and improve program services
* Participates in mandatory in-services and drills, attends staff meetings and other trainings including appropriate age specific educational trainings offered on a regular basis for professional development
* Reports all unusual occurrences that may involve the safety and well-being of the clients, patients and/or co-workers, directly to the supervisor and/or Safety Officer
* Performs duties in a prioritized, organized and orderly manner to maximize clinic efficiency and productivity
* Maintains orderliness and cleanliness of work area
* Assists with the department in various areas
* Assists with the department in various areas in order to meet their departmental goals
* As a member of the health care team, exemplify an example in attitude toward patients and staff, thereby, performing duties with respect, dignity, privacy, and modesty to the patients
* Greet and care for all patients and visitors to the clinic in a polite and courteous manner at all times
* Manages all inquiries both in person and on the telephone in a polite and professional manner
* Consistently aware of patient confidentiality and data protection
* Schedule patient appointments and assist with referrals accordingly
* Assists patients in need of help, i.e. handicap, pediatric, etc.
* Maintains and accurately file records and update patient information
* Ensures all notes and information are available to coincide with appointments and up to date forms such as HIPAA, Patient Information, and Medical History forms are completed, signed and dated correctly
* Provides courtesy calls and sends out appointments and reminders to patients
* Proactively deal with all complaints in line with company policy
* Performs independent procedures as delegated and directed by the Dentist in accordance with state regulation and law and department directive and protocol
* Receives and places necessary telephone call consistent with professional matters, clinic business and patient care of the Department
* Ensures the proper disposal of all contaminated or potentially contaminated materials in accordance with department directive, system policy as well as state and federal regulations (s)
* Participates in appropriate health promotion/disease prevention activities, both on-site and off-site as required
* Travels when necessary to meet operational needs
* Works collaboratively with the staff for the coordination of quality dental care to the clinic's patients
* Informs scheduled patients of any delays due to dentist's lateness, emergencies, schedule backup, etc.
* As directed by a supervisor, performs other related and/or necessary tasks to achieve organizational and programmatic goals and objectives
* Responsible for personal compliance in full with all applicable federal, state, local and system rules, regulations, protocols and procedures including but not limited to the participation of a Dental Clerk in the provision of clinical dental care, as well as those relating to, but not limited to personnel issues, workplace safety, public health and confidentiality
* Reports to the Chair of the Department of Oral Health
* Performs other job-related duties as required or assigned
QualificationsMinimum Qualifications
- High school diploma or G.E.D. certificate is required (must provide proof at time of interview)
- Two (2) years of clerical work experience within a healthcare setting is required
- Bilingual in English/Spanish is required (Bilingual testing for Spanish will be administered. Passing score of 3 - High Intermediate, is required)
Preferred Qualifications
* Experience working in a dental clinic is preferred.
* Experience with an Electronic Medical/Dental record is preferred.
Knowledge, Skills, Abilities and other Characteristics
* Knowledge of Microsoft Office Suite
* Thorough knowledge of dental scheduling
* Knowledge of standard dental procedures, terms; electronic health records and of clerical procedures
* Ability to explain simple dental hygiene techniques
* Thorough knowledge of clerical and standard office practices and procedures
* Ability to utilize standard office equipment
* Advanced knowledge of electronic health records
* Ability to communicate effectively and professionally both orally and in writing to diverse groups; to plan, and coordinate the schedules of providers and patients; and to multitask and prioritize assignments
