Job Summary

The Project Coordinator plays a key role in supporting initiatives that advance nursing excellence across the healthcare system by managing projects and overseeing event planning to ensure seamless execution. This position is responsible for coordinating activities, facilitating communication, and ensuring alignment with projects that support nursing strategy. The coordinator handles logistics for nursing leadership meetings, retreats, and special events, managing venue selection, vendor coordination, materials preparation, and timelines. With strong organizational and communication skills, the Project Coordinator serves as a critical link between nursing leadership and operational teams, ensuring all projects and events contribute to the organization's mission and goals.

Minimum Job Qualifications

• Licensure or other certifications:

• Educational Requirements: Bachelor's Degree

• Minimum Experience: Two (2) years of experience as a Project Coordinator or similar role.

• Strong communication and organization skills

• Proficient in utilizing project management tools to track deliverables and maintain stakeholder engagement through structured follow-ups.

• Strong analytical skills in diagnosing inefficiencies across cross-functional teams and implementing proactive solutions

Essential Tasks and Responsibilities

• Provides direct support for various executive-level and organization-wide nursing projects, ensuring alignment with leadership priorities.

• Conducts research and data analysis for strategic initiatives, ensuring thorough preparation before implementation.

• Prepares, organizes, and assembles reports and presentation materials ahead of scheduled meetings.

• Oversees documentation and record-keeping for key projects, ensuring information is accurate and accessible

• Tracks project progress, deadlines, deliverables, and ensures timely follow-ups with stakeholders.

• Collaborates across departments to support efficient execution of projects and strategic initiatives.

• Identifies risks and potential roadblocks in project workflows, recommending solutions to mitigate challenges.

• Assists with budget tracking and financial reconciliation, ensuring appropriate allocation of project resources.

• Coordinates the planning, agenda, logistics, participant preparation, and material distribution for various recurring monthly and annual nursing leadership meetings.

• Organizes executive-level events and retreats ensuring seamless execution.

• Supports executive requests for special events, including leadership summits and community engagements.

• Assesses post-event success and gathers feedback to improve future planning efforts.
