The Administrative Assistant to Physician Development is responsible for providing administrative support to the Physician Development Department. This support is primarily focused in the areas of expense management, travel planning, calendar management, email correspondence and meeting planning. In addition, this position responsibilities include:
Responsible for understanding the detailed process and procedures of Tenet's administration process and evaluating and recommending department processes to ensure compliance with Tenet policy. Responsible for coordinating travel for department members as requested.
Responsible for maintaining the physician development master calendar to include communication of travel calendars, PTO, company and department meetings for all department members.
Responsible for maintaining the professional calendar for VP of Physician Development to also include the coordination of webinars, conference calls, on-site and off-site meetings which typically involve high level of difficulty given the complex schedule of other executives and coordination with their administrative assistants.
Gather documentation needed to file all expense reports for physician development team, including several members who travel extensively and reconcile with corporate Amex bills.
Create and maintain various PowerPoint presentations and excel spreadsheets as requested
Maintain online tools, eTenet access and distribution lists for the team.
Maintain over 90 distribution lists of facility chief officers and corporate executives.
Responsible for maintaining agendas and meetings of department meetings, including follow up on action items generated from meeting.
Responsible to onboard new department employees to assure each has the necessary equipment, connectivity and tools to begin performing their work immediately and that all outlined HR functions are performed completely.
Liaison with IT to manage department printers, computers and telephones with the responsibility to call in trouble tickets, coordinate with IT staff and maintain daily maintenance of such equipment.
Complete necessary purchase requisitions and supply orders needed to support department staff.
Participation in special department projects as requested.
High School Diploma required; bachelor's degree or paralegal experience preferred
Minimum of 5 years of Executive, Level Administrative experience required
Strong written and oral communication skills
Computer literate in Microsoft Office with high level of proficiency in Work, Outlook and Excel
Ability to multi-task
Typing 65+ wpm
